Instructions for presenters

Every paper accepted at DCASE Workshop 2021 will be presented with a prerecorded video that will be available for attendees to watch at any time AND a scheduled poster session to explain the work and discuss it in more detail with the audience. Below are instructions to prepare the videos and posters as well as some information about how will the poster sessions work.

Prerecorded videos

The prerecorded videos should be short videos introducing the topic of your paper, informing of some insights from the work, and enticing watchers to read the paper and attend your poster session(s).

Video must be submitted by October 20th. The DCASE organizing committee will be appending title cards with schedule and sponsor details, and will upload the videos to Youtube some days before the workshop starts. The videos will remain publicly available for streaming after the conference.

We recommend recording voice overs to a slide show or slides with embedded video of the presenter. One way to do this is record the presentation on a virtual meeting platform such as Zoom, Google Meet or Microsoft Teams. Presentation programs such as Powerpoint and screen capture programs such as Screencastomatic can be used to record slide presentations with voiceover.

  • Duration: 5 to 8 minutes
  • File size: 500 MB max
  • Video format: mp4
  • Video codec: H.264
  • Dimension: minimum height 720px, aspect ratio 16:9
  • Resolution: 720p or 1080p
  • Filename: include paper submission number and presenting author’s family name (e.g., 118_Upham.mp4)

Please send a link to a downloadable version of the video (Google Drive, Dropbox, WeTransfer, etc) by email to dcase.workshop@gmail.com before the deadline. The email will also need to include a link to the poster file (see below). Please use as subject for the email Video and poster submission ID XX (replace XX by the ID of your paper).

Posters

Every accepted paper will be presented in a poster session that will happen in a virtual workshop space using Gather Town. The virtual space will feature a large room where all posters from that session will be visible, much like a real poster session. Attendees will be able to walk the space, see the posters and talk to authors. Additionally, each poster will be given a dedicated Slack channel in a Slack workspace that will be created for the workshop. This channel will be open for asynchronous text discussion throughout the conference and can also be used by authors to add extra information about the paper.

To allow DCASE participants from around the world to engage in synchronous discussion with poster presenters, poster sessions will be repeated in two time slots scheduled 8 hours apart. Authors are required to be present in at least one of the two time slots, and, if possible, are recommended to be present in the two time slots to maximize the possibilities of synchronous discussion with attendees.

Further details about accessing the virtual workshop space in Gather Town, the Slack workspace and the schedule of the poster sessions will be published at a later time.

Formating

  • Dimensions: either horizontal or vertical arrangement, but optimized to display on screens rather than large format print. We recommend to follow the proportion of a computer screen (16: 9) with size 60 cm tall by 105 cm wide and good quality graphics.
  • File size: 100 MB max
